Hi All,
We are really excited and looking forward to meeting you all at ONLINE Women in Agile Europe 2021.
The ONLINE conference will be at https://womeninagile.eu
You can contact us 24/7 at info@womeninagile.eu
>>> This is a long email, please read it carefully. <<<<
>>>> Do it today, don’t wait till the day of the conference. <<<<
1. Logging in is mandatory
In order to attend the conference, you MUST previously have signed up on the website.
Signing up is done by buying a ticket, possibly using a coupon code.
During sign up, you have chosen an email and a password. You need that email and password to log in to the website. When a ticket was bought
but you don’t have access to your email or password, visit https://womeninagile.eu/help to get access.
Being logged on is mandatory for the conference.
When you log in to the website, you see details like zoom links to the conference sessions that other people won’t see.
There is no need to print out a ticket. Being logged in is proof that you have a ticket.
2. Check your computer setup
We will be using Zoom a lot during the conference.
Make sure you have the latest version https://zoom.us/download
Most people will use the ‘Zoom Client for Meetings’ or ‘Zoom Mobile Apps’.
We think the conference experience will be best on a computer.
You can test your video and audio prior to the start of the conference by joining a test call at https://zoom.us/test
When you run into problems and cannot solve them yourselves, visit https://womeninagile.eu/help to get help.
We have some frequently askes questions, instruction videos, or can help you by email, Zoom, Slack or phone.
A great tip is to restart your computer or mobile before attending the conference.
3. Join us on Slack
We use Slack as a way to communicate with speakers and attendants, before, during, and after the conference.
Join us on Slack. Sign up here, from any device:
https://join.slack.com/t/wiaeu2020berlin/shared_invite/zt-i1o4mxba-ZbOZCb003q6nyyNr6uHyWg
Yes it says Berlin2020, but it is the slack for ONLINE 2021
On Slack we have channels for #introduce-yourself, #program, #shamelesspromotion, #sharing_experiences, #sponsors, #watercooler and
#help.
#help might also be a great place to look into when you are experiencing any kind of trouble.
4. The program
Details about the program, keynotes, talks, workshops, speakers and sponsors can be found at https://womeninagile.eu.
On this website, when you scroll down a bit you see the program. You can click on items to see details. The website is designed to work well on your pc, and may work less well on your phone (maybe turn the screen for a better experience).
All times are shown in CET – Central European Time. That’s Berlin or Amsterdam time)
You can download a PDF of the program for your convenience. Click on the PDF button just above the program.
In the program you can click on the name of the session to see the session details.
On the left of each session, you can click on the Zoom icon to get access to the zoom meeting for that session. You will be redirected to zoom and can access the session (when the session is started), enter a waiting room (when the session is about to be started) of see a message stating the name and starting time of that session (when you are too early). In the last case, try again later.
Due to technical problems or an unforeseen large number of participants, we may have to decide at a very late moment to change the access links to Zoom sessions.
So if you have trouble joining a session, first go back to the program, refresh the screen and click again on the Zoom icon.
5. Reserving a spot
This year there are no sessions that have a limited number of participants.
6. Code of Conduct
All Women in Agile Europe event attendees, speakers, sponsors, volunteers and organizers are required to comply with the code of
conduct. Organizers will enforce this code throughout Women in Agile Europe events and operations. Please take a few minutes to read it at
https://womeninagile.org/conduct/ .
We expect cooperation from all participants to help ensure a safe environment for everybody
7. Recording Sessions
We plan to video record most online sessions of this conference. There may be sessions, e.g. workshops where participants may share very private information, that are not recorded.
When you look at the session details on the website, it is indicated when the session is recorded.
The purpose of using Zoom for this online conference is to feel as if you are really there. And for speakers, it is great when the can see the
reactions of their audience when speaking.
When you, for any reason, don’t want to appear in the recordings, don’t share your video while on Zoom.
All recorded sessions will be shared on the website at the session details. That may take a week or two, so check out regularly.
The sessions will be available for attendees first, and for the general public later.
8. Session Materials
We'll ask all speakers to share their slides and supplementary material with us.
All materials will be shared on the website at the session details.
The materials will be available for attendees first, and (if speakers decide so) for the general public later.
9. Session Feedback
Speakers greatly appreciate your feedback on their session.
During the session, you can use the chat functionality of Zoom to share feedback and questions. Some speakers assigned a helper to watch the feedback and share highlights with the speaker during the session. Some speakers read the chat later.
It would also be great when you would leave feedback in the form of a review when you attended a session. You can do that on the conference day, or in the week following.
To share your feedback, go to the session details of the session and scroll down.
You need to be logged in to share your feedback.
Please keep your remarks professional and use a positive voice. When appropriate, organizers will respond on remarks.
10. Breaks
Between sessions there will be 15 minute breaks.
The Zoom session you are currently in will continue for some minutes after the speaker ended, and then be closed.
You can choose the next session you want to attend in the program and click on the Zoom icon. You will probably enter the waiting room while the next speaker is preparing the session. After some time you will be let in.
During the breaks you can get Help and Support when you need it.
You can also use the breaks to visit the bathroom, get yourself a drink or something to eat, do some exercises, get out of your chair or get away from the screen.
For lunch we have a 60 minute break.
In addition to the options you have during the 15 minute breaks, during lunch you can choose to click on “Socialize at Lunch” in the
program. There you can meet other attendants and speakers.
There is room for 95 people here, so when the session is full, please come back later.
After the conference we have two hours of socializing in breakout rooms
This is a bring your own drinks and food event
After the conference, you can choose to click on “Socializing” in the program.
We have two hours for socializing. There is room for everybody, we have live music in the main room and created an abundance of Zoom breakout
rooms for you to use.
We allowed participants to self-select and join breakout rooms of their choosing, you will be able to view and select from a list of breakout
rooms we created. You will be able to enter and leave breakout rooms freely.
When you need help in a breakout room, click Ask for Help in Zoom to invite a host to your breakout room.
When you are not joined with the desktop or mobile app (version 5.3.0 or higher) you will not be able to self-select a breakout room. A host will
need to facilitate moving you manually. Contact a host (having *** in front of their name) in the Zoom chat to make that happen.
11. Using Social media around the conference
We would really appreciate you mentioning you are attending the conference.
We’ll share details during the opening of the conference.
